The Оffice Manager is expected to be on-site and to do administrative support to all business and support functions as regular requests occur with main focus on HR admin support, correspondence with vendors, office event and business trip planning. The position includes day-to-day office facilitation and administrative work.

Main responsibilities:

  • Serve as the point person for office manager duties including: maintenance, cleaning supplies, equipment, gifts, etc.;
  • Communicate with all external partners and vendors (Cleaning company, Multisport, Speedy, Travel agency, Food suppliers, ect.)
  • Organize all office documentation;
  • Prepare monthly payroll reports for the accountancy;
  • Manage all payments to business partners and suppliers;
  • Organizes (upon request) events, in-house or off-site activities like parties, celebrations and conferences;
  • Organize, coordinate and book travels, transport and accommodation and prepare necessary documentation;
  • Welcome visitors, route calls, messages and e-mails, prepare and distribute shipments if needed;
  • Oversee the administrative part of the health and safety requirement;
  • Supports the HR team daily activities.

Job requirements

Main requirements:

  • Experience on a similar position is an advantage;
  • Excellent level of English (both written and spoken);
  • Independent and capable of taking decisions on his/her own;
  • Very good interpersonal and communication skills;
  • Experience in using Microsoft Office (Excel, Word);
  • Organizational and problem-solving skills;
  • Positive disposition
